How can a Supervisor dealing with employee when she found out shewas dishonest and facing an audit?
Asked by Courageous Voice
My neice is a supervisor who just went over reports, etc... and found out one of her workers was dishonest in handling the paperwork.... the last few days shes gone over documents to prepare for an audit. Now they she doesn't know what will happen. She trusted this employee and discovers the problems and worried about the audit.
The incident was deliberate as my niece discovered, this employee had to have taken a whole stack of players cash, (which you can use as cash) and seen where she has used them on the promotional nights when a lot of people are there and their busy nights! She was overwhelmed at what she seen and trusted this employee. We did advise her to meet with the auditors, explain what happened, ask for recommendations on how to prevent this in the future and she will have to let the employee go! This was an intentional act.

Audits don't necessarily find every problem. Regardless, the best thing to do is report it management. If your niece is the management she should confront the employee. Please remember that not everything may be as it may seems.

The employee needs to be let go if they were careless with the paperwork or if there was intentional deception. Either way, that employee has cost the company some money and it is the supervisor's obligation to bring that to an end as soon as possible. If a third party will be conducting the audit, your neice should simply submit whatever documentation the auditor requests.

The supervisor should not be in trouble if she discovered the problem and called for an audit, however, she may have to attend training or receive instructions as to how to oversee these reports in the future. Of course, if her job is live or death, like in the medical field, or airline industry, she could be held accountable as the supervisor.

Bring it to her attention that you know what she did. If this is too hard, go over it with her and point all signs to her. When people know they are caught they will usually resign.

Was it dishonest or an honest mistake? If the paperwork can be repaired she and the one who did the deed put in an all nighter and fix it. It will show that person what he/she did wrong.
If it was delibert, pink slip the employee, correct what she can, be honest to the auditor..maybe she can get an extention on the audit?
Maybe legal action against the employee?

It seems like there are two issues here.
The first, what to do with the dishonest employee....... pink slip seems to be the best option. before doing that I would make sure all i's are dotted and t's crossed so that there is NO chance of a wrongful termination suit, and the company has basis to defend itself against an unemployment claim. It seems that people who do dishonest things will also try to milk the system for everything they can.
The second, the audit. Most likely there is nothing to worry about. As long as your niece was doing what she was supposed to. The auditors (if they are internal auditors) will look at what the fraud was, what were the internal control breakdowns that allowed it to happen, and what controls (rules, procedures, or whatever) can be established to prevent this type situation from occuring again. Your niece asking them for recommendations as to what she can do to help prevent this from happening again is a good thing in that it shows she what to make things better for her department and company.
Good luck to your niece
