What can I do to be the best Executive Assistant ever?
Asked by Anna
I just got a job as an Executive Assistant, this will be my first role as an EA. I'd like some tips on how to be the best EA ever! How to handle stress, multitasking, etc., etc.

Remember that little things mean a lot, so please pardon if some of this seems to be obvious. Respect the time of others, especially that of your boss. If you can't be there or complete a task early, then at least do so on time, every time. Provide reasonable expectations as to how long it will take for you to finish your tasks: it's better to truly know what to expect versus hearing only what you want to hear. Smile when you speak, even when on the phone. Be enthusiastic, friendly and approachable. Get involved and hit the ground running! Be willing to take initiative and assume many tasks, even if they seem menial. Own these tasks. Write every e-mail and other correspondence as if it were going to be published in the newspaper. Seek out and participate in (or join) local professional organizations for admin/executive assistants. This allows you to network with other professionals in your field to share ideas, learn about what works and doesn't work and to even commiserate to learn good ways to cope with the challenges! Dress professionally. Participate in as many company parties and after work activities as you can to help build esprit de corps. If you don't know the answers, don't pretend that you do (but be willing to find out and provide the answers when you do). So that you do not get burned out, remember that you still have a life outside work.

Always be on time. Don't do personal business at work. Dress appropriately. Leave your cell phone off and don't make personal calls on the clock. Have a positive attitude and be respectful to your boss.

I just think fast, plan ahead, be a little physic never hurts. Listen to your boss talk. Watch his/her facial expressions. Learn to read the signals. Learn simple things, their friends, who's in who's out. Favorite lunch, dinner place. Cleaning ladies name, laundry, dry cleaner, church, Dates to steer clear planning anything for. (dead relatives birthday for example) birthdays, Pens or pencils? Signals between the two of you for delicate situations., that occasionally arise. To get them out of it. Take Vitamin B stress formula. Get sleep if you need it. Find and outlet for yourself. workout, run, knit, read. Mostly just breath and leave it at work!

The best executive assistant I had was the one who can predict the needs of a requirement. Like this EA I had will confirm 1 hour ahead of time the meetings I would be attending. Confirming all the attendees. The EA would take note of the things I did on certain situations and when the situation occurs for the second time the EA would prepare all the things she saw me do the first time. And this all occurred without me reminding her. Needless to say she has moved on to a more rewarding career because of her efficiency and excellent work ethics.
