Summary Description Time allocation is 50% to the VP, Corporate Marketing, and 50% to the Directors of Marketing for the PC, CE, Games, Mobile, Cinema and Broadcast Segments. Performs specialized administrative support tasks of a non-routine and non-repetitive nature to assist VP, Corporate Marketing in daily operations of the company. Also provides more routine administrative support to the Marketing Directors. Works closely with the EA to the SVP Marketing on overflow from the Marketing Directors. May provide work leadership to secretarial and clerical employees. Normally receives no instruction on routine work and only general instructions on new assignments. Contacts may include all levels of company personnel and may be confidential in nature. Essential Job Functions Assists VP with administrative tasks related to internal operations, national and international travel, internal and external meetings, and communications with employees and customers around the world. Takes charge of VP’s schedule and effectively manages calendar, meetings, and events so that working days are efficiently organized. Takes charge of logistical planning of events including lodging, entertainment, travel, and meeting coordination. Coordinates communications, agenda planning, logistics, meeting facilitation, and follow-up for management meetings. When required, serves as liaison to executive committees, other divisions and corporate administration groups. Works closely with SMG EA’s and liaises with EA’s throughout the company. Assists in the budget planning and monitoring process over the course of the fiscal year. Performs heavy calendaring, some word processing and excel spreadsheet functions which may include graphs and tables. Creates presentations, organizational charts, and other documents as needed. Provides detailed data, information and resources in preparation for meetings. Must be able to maintain strict confidentiality of corporate information. Processes VP's mail, photocopying, answers phones, screens calls and other miscellaneous clerical tasks. EA, Marketing Directors: Essential Job Functions Assists Directors with administrative tasks related to internal operations, national and international travel (including air and ground transportation, visas, etc), internal and external meetings, and communications with employees and customers around the world. Assists with day-to-day scheduling of Directors’ calendars and works closely with the EA, SVP Marketing on large-scale meetings and events. Coordinates communications, agenda planning, logistics, meeting facilitation, notes and follow-up for routine meetings. Manages Segment Sharepoint sites. Prepares Directors’ expense reports. When required, serves as liaison to executive committees, other divisions and corporate administration groups. Works closely with SMG EA’s and liaises with EA’s throughout the company. Performs heavy calendaring, some word processing and excel spreadsheet functions which may include graphs and tables. Creates presentations, organizational charts, and other documents as needed. Must be able to maintain strict confidentiality of corporate information. Education, Skills, and Experience Required A minimum of 5 years experience as an Executive Assistant. College coursework in business administration or related field preferred. Articulate phone voice, excellent verbal and written communication skills. Excellent grammar and spelling a must. Excellent computer skills; highly experienced in Windows including Outlook, PowerPoint, Word and Excel. Experience with SharePoint, OrgPlus and LiveMeeting helpful. Typing skills of 60 wpm. Strong clerical skills with demonstrated attention to detail. Ability to manage multiple-step procedures and handle frequent interruptions in work flow.
