Summary Description: Manages Sourcing and Negotiations (S&N) Pool Managers and Senior Associates in a specific procurement commodity area (or related commodity areas). Acts as the primary point of contact for customers with sourcing needs in a specialized commodity area. Writes complex Requests for Proposal (RFP), Requests for Quotation (RFQ), Requests for Information (RFI) in related commodity areas, in collaboration with the Procurement Legal team; incorporates Procurement template content, customer requirements, and inputs from other Finance support teams. Negotiates with customers in setting realistic, quality-driven expectations of Procurement sourcing deliverables/results. Conducts or supervises facilitation of sourcing projects of varying complexity (e.g., RFPs, RFQs, RFIs) in accordance with firm guidelines. Include compliance with arm's length, transparent and fair bid processes, consultation with technical subject matter specialists in legal, independence and customer group(s). Crafts or reviews project-related communications. Is frequently the Procurement sourcing project (e.g., RFP) leader, particularly in medium to complex and/or high visibility/impact sourcing initiatives in his/her area of expertise. In close alignment with the Procurement Legal team, has direct or oversight responsibilities for crafting and negotiating high-quality supplier agreements and/or Statements of Work (SoWs) resulting from bid projects or renegotiations. Works with S&N Director and S&N peers to implement consistent bid and contracting processes that result in verifiable savings, increased controllable spend, increased minority supplier spend, and other supply chain improvements. Promotes early involvement of Contract Management and Maintenance (CM&M) team in bid processes to facilitate effective long term supplier and contract management. Oversees transition of new/renegotiated contracts to the CM&M team and periodically exchanges relevant commodity and/or performance information (e.g., Service Level Agreements (SLAs) and related supplier performance metrics) to improve future bid work and supplier adherence to the spirit and letter of agreements.
Works with S&N Director on commodity strategy development. Conducts spend analysis reviews, market intelligence, benchmarks, and performance analysis. Assists S&N Director in reaching out to customer base to increase awareness of Procurement practices and policies to improve and/or extend sourcing project support.
Strategic & Technical Orientation / Job Content: Serves as the primary point of contact for assigned endusers. Translates his/her knowledge of their businesses into optimum deals to benefit the Firm. Capitalizes on deep commodity knowledge to locate and introduce the best sources of supply and services. Responsibilities include managing or conducting supplier research/identification, coordination with business areas to develop requirements, overseeing RFPs/RFQs/RFIs and ensuring bid activities are led professionally and in adherence with Firm procurement, legal, compliance and independence policies. Manages sourcing pool staff in preparing, organizing and leading structured supplier negotiations to achieve optimum cost and concessions. Achieves best value for the firm consistent with ‘win/win’ vendor relationships. Utilizes deep commodity knowledge and commercial contracts expertise to ensure staff negotiate and prepare sound, favorable contracts that preserve the firm’s position. Crafts or reviews sourcing/bid process communications to Global Engagement Partners (GEPs) and other interested parties. Ensures effective use of RFP/RFQ/RFI and contract templates and coordinates contract review with CM&M leader (or designee). Promotes early involvement of CM&M team to facilitate effective long term supplier and contract management following execution of supplier agreement(s). Directs team to effectively pursue supplier diversity opportunities in concert with the supplier diversity objectives. Assists S&N Director with sourcing pool workload balance and with the implementation of cross-training to increase S&N pool, cross-commodity benchstrength. Directly supervises others and serves in a leadership role to ensure that staff contributes to sourcing project objectives.
Conducts or oversees facilitation of RFP/RFQ/RFI kick-off and follow-up meetings. Can sometimes be called to present complex/high visibility and impact sourcing project status to firm leadership.
Range of Impact: Closely collaborates with other S&N managers and Procurement leadership to provide a consistent, comprehensive procurement process for internal clients. The position interacts with Finance, US IT, other IFS and business/customer areas to identify requirements and coordinate comprehensive supplier selection and management strategies. May interact with executive levels of the Firm and supplier organization leadership regarding purchase decisions.
Scope of responsibility: Responsible for the day-to-day 'front-end' procurement process activities, including internal client coordination, conducting of RFP/Q/Is and negotiations. Achieves consistent, coherent deals that can then be translated into the end-to-end process by others in the organization.
Responsibilities: Serves as a customer group(s) main point of contact for sourcing initiatives. Provides seamless Procurement support to customer group(s) by proactively engaging the appropriate Contract Management and Maintenance leader or designee to address concerns or new bid opportunities. Ensure that savings are coupled with high quality service delivery and enhanced customer access. Utilize own specific commodity knowledge and that of staff to locate and introduce the best sources of supply and services. Understand and utilize Best Practice methods and measures to ensure that the optimum balance of cost and quality is achieved in all endeavors. Directly supervise others or serve in a sourcing project lead role to ensure that Procurement staff and/or others in the firm contribute to the achievement of this job objective. Interact effectively with IFS service co-providers and LoS contacts on cross-functional project teams (ensure staff does as well) aimed at achieving superior deals for the Firm. Where applicable, provide project leadership and direction. Work effectively and in a team setting across Procurement to achieve continuous improvement/refinement. Develop and exploit means to gain customer input/feedback on an ongoing basis by staff and by him-/herself, i. e., via monthly customer calls, visits and one-on-ones. Ensure customer buy-in and understanding before taking any procurement action or implementing decisions. Participate meaningfully/actively in cross-IFS functions. Support supplier diversity, Procure to Pay (P2P), e-business and other organizational/firm objectives.
