Executive Assistant for Vice President of Education

POSITION SUMMARY:

The Executive Assistant will directly support the Vice President of Education. As directed by the VP, the Executive Assistant may also provide administrative support to the larger division. This position will be responsible for overseeing discrete projects, will coordinate divisional programs with the senior Education staff and will serve as the first contact for trustees/overseers, external parties, and colleagues from other institutions who need to talk or meet with the VP.

1. Participate in the Guest Service Program to support the Museum’s commitment to providing our guests and colleagues with a welcoming and comfortable environment:

  • The Guest Service Workshop (Mandatory)
  • The Guest Service Experience

2. Provide administrative support to the VP of Education, and his designees, by coordinating meetings, fielding inquiries, copying, distributing mail, creating and maintaining files and databases, word processing, preparing spreadsheets, and performing other duties as needed in order to aid in the effective and efficient operation of the office of the Vice President.

3. Provide assistance in organizing and supporting several key Trustee committees for the purpose of fulfilling the Museum’s educational mission. Requires a high degree of professionalism and comfort working with the Museum’s Trustee and Overseers. Participate in various Education division events that may require early mornings on occasion.

4. Research data and generate analyses from internal, published and on-line sources that can be shaped into proposals, reports and other supportive materials as needed to meet the goals of the Education division.

5. Assist in the development and stewardship of grant and endowment funding requests by conducting background research on funding opportunities and “need” evidence, coordinating internal schedules, formatting proposals according to established guidelines, and handling proposal submittals to support efforts to produce well-written, compelling, and accurate proposals.

6. Support the careful stewardship of Education division budget collaborating with VP to develop appropriate spending plans, tracking monthly reports, and reconciling and reporting on accounts as required.

7. Contribute to the successful planning, implementation, and evaluation of various projects by providing basic administrative support, conducting background research, producing PowerPoint presentations, serving as communications liaison, and coordinating project schedules.

8. Promote and communicate Education division initiatives internally and externally by actively soliciting, compiling, and submitting timely information for internal and external audiences; creating and maintaining relevant project timelines; and serving as liaison with Marketing department for coordination of photo shoots, interviews, articles, etc.

9. Perform other work-related duties as required by Manager.


WORK SCHEDULE:

40 hours per week, Monday through Friday


REPORTS TO:

Vice President of Education


QUALIFICATIONS SUMMARY:

  • Bachelor’s degree and minimum of three (3) years experience required, including thorough knowledge of administrative support field.
  • Significant experience working with upper levels of management, providing a high level of support for all aspects of the work being completed by senior staff.
  • Ability to multi task with several projects/initiatives along with daily responsibilities.
  • The Executive Assistant’s level of professionalism, competence, and judgment should support his/her manager’s ability to complete multiple tasks successfully.
  • Attention to detail, excellent organizational and writing skills, reliability, and the ability to think and act proactively are required.
  • Effective time management capabilities in order to handle multiple projects simultaneously and to meet deadlines.
  • Strong skills required in PowerPoint, Microsoft Word and Excel software programs.
  • Ability to take a project from the beginning to the end; ability to follow through.
  • Demonstrated teamwork ability; problem solver; can-do attitude.
  • Interest in museums and/or museum education as a career.


STARTING SALARY:

Non-exempt (hourly): salary is commensurate with experience.
