Intellectual Property Administrative Specialist/Paralegal
Summary:
The Administrative Specialist/Paralegal will be part of a team and provide administrative support to law department counsel. This position reports directly to the lead Intellectual Property Counsel for Siemens Medical Solutions, USA, Inc.
Essential Job Functions:
• Prepare and file patent-related papers with the US Patent and Trademark Office (USPTO) in accordance with USPTO/PCT rules and regulations, including USPTO electronic filing system, and internal administration procedures.
• Work with Siemens internal docketing database (IPAS) and with contracts management database (Timematters) in accordance with internal procedures.
• Prioritize and screen all incoming mail to insure that deadlines are met and matters of urgency are handled in an expeditious manner; handle outgoing mail in expeditious manner.
• Maintain calendar of USPTO/PCT due dates, meetings and business trips, apprising counsel of due dates and appointments in advance of commitment.
• Organize patent review meetings, including preparation of agenda and back-up materials.
• Perform as needed general administrative support, including drafting reports and other routine correspondence; proofreading; coordinate travel arrangements, itineraries and expense reports; coordinate conferences, meetings and appointments for counsel; maintain and organize physical and electronic files; cover phones; and the like.
Requirements:
•High school diploma required.
•2+ year of experience with patent administrative matters Previous experience in a legal/patent environment required.
•Highly proficient technical skills in MS Office Suite (Word, PPT, Excel) required and IPAS/USPTO database knowledge a plus.
•Paralegal certificate is preferred
•Team player with ability to work independently.
•Highly organized with attention to detail.
•Excellent interpersonal and communication (verbal & written) skills a must.
•Flexible and adaptable to be able to thrive in a fast paced and changing environment.
