Administrative Assistant

Job Description:

The role of the Administrative Assistant is to provide high level administrative support. He or she will provide general administrative support and will work on departmental projects assigned by the Director based upon short- and long-term needs. Responsibilities include, but are not limited to: Open, review and route mail, e-mail, maintain the Directors’ calendars and schedule of events (in MS-Outlook); organize and maintain files, handle travel schedules and functions as front-line support for internal and external client visits; schedule complex meetings, involving multiple participants, handle all meeting logistics, including coordinating meeting agenda’s; provide project management assistance to Directors; draft correspondence including letters, faxes, e-mail, memos; manage internal and external communications, providing front-line phone support, demonstrating excellent etiquette; manage and track invoices, expenses, supplies, and perform data-entry as required; create and maintains customized project and general filing system; additional duties as assigned.

Job Requirements:

· College degree preferred or equivalent experience.

· Minimum 4 - 7 years previous administrative experience in an office setting, preferably as an assistant to multiple directors.

· Experience with various computer software programs. Proficiency with Outlook, Word, Excel, Power Point, including flexibility to learn CRF specific software.

· Ability to communicate and work effectively with all levels of management, particularly line management of outside CRF partners and vendors.

· Ability to multi-task in a busy, dynamic and demanding environment, interfacing with team members who are working under deadlines. Ability to set priorities and excellent organizational planning, project management and time management skills. Ability to accurately project time to complete tasks and communicate this information to the Directors.

· Willingness to work overtime if required.

· Ability to handle confidential material and to use discretion as needed.

· Must have a personal interest in creating a successful, open and inclusive team environment.
