We are looking for an Executive Assistant.

An Executive Assistant is a business professional supporting the needs of a VP or higher management level, and who must be able to multi-task in a fast-paced environment where organizational expertise is essential. Responsibilities will include creating and updating documents, reports, managing schedules and appointments, maintaining file and supplies, make travel arrangements, process daily mail, and operating office equipment such as fax and copy machines. In addition, the Executive Assistant must have a strong experience using word processing, spreadsheets, email, and presentation programs

Make no mistake about it. An Executive Assistant is a customer service professional. The ideal candidate must be able to address the needs of our team members, visitors, and callers in a friendly and professional manner. An Executive Assistant must have strong organizational abilities, follow-up skills, and an attention to the little details that often make all the difference.

  • Uses broad knowledge of company operations to effectively relieve executive officers of administrative actions.
  • Determines priority of matters requiring personal attention of the supervisor and routes other material for executive action and/or reply.
  • Deals with highly confidential and technical material. Prepares memoranda outlining and explaining administrative procedures and polices to management.
  • Plans major management and customer conferences. Has demonstrated ability to effectively interact with internal management as well as clients, vendors and the public.
  • Exercises independent judgment and discretion in matters involving major company decisions and future plans.

  • An Executive Assistant must be able to handle a high volume of telephone calls from current and prospective residents.
  • The ideal candidate must adapt to changing schedules that may include evenings and occasional week-ends.
  • Multi-tasking and adaptation are key elements to success! Every day is different for an Executive Assistant. In order to succeed, the ideal candidate must be able to handle constant change in a fast-paced environment and be able to deal with multiple people and various situations simultaneously.
