We are currently seeking a talented and hard-working Legal Secretary for our Irvine, CA office to provide secretarial support to assigned attorneys. This position will require attention to detail, great organizational skills and a strong customer service attitude. Overview of Responsibilities:

  • Coordinate input and compilation of attorney time.
  • Responsible for substantive preparation of client billings. Helps in the design of new formats, etc.
  • Edit and finalize legal documents.
  • Coordinate mailings and distributions.
  • Proofread documents to ensure accuracy of copy, grammar and punctuation.
  • Receive and screen telephone calls in a manner consistent with office policy and the preference(s) of attorneys.
  • Open, sort and distribute mail in compliance with office policy and procedure and in the manner specified by the attorney(s) supported.
  • Create and maintain filing systems and databases to ensure accurate and efficient retrieval of data.
  • Coordinate conferences, meetings, appointments and preparation of materials.
  • Maintain calendar of meetings, business trips and upcoming events.
  • Coordinate travel arrangements by securing air, hotel and car reservations.
  • Maintain logs and records of group activities and assist practice group leaders in the development of various data.
  • Draft routine correspondence and compile data and documents.
  • Serve as an information resource on Firm policies and procedures, refer questions to Administration when appropriate.
  • Coordinate with other secretaries, service departments and outside vendors (as appropriate).
  • Advise, consult, negotiate or present issues to others within the practice group/firm in order to gain cooperation and acceptance of ideas and actions.
  • Resolve major issues involving external client service coordination, billing and adjustment or special information needs over the telephone or in person.
Knowledge, Skills and Abilities:

  • Complete knowledge and understanding of local CA court rules and e-filing procedures.
  • Working knowledge of legal terminology and procedures.
  • Ability to accurately type 70 wpm.
  • Thorough command of the English language including excellent spelling, grammar and punctuation. Expert knowledge of document forms and styles.
  • Expert proficiency in the use of WindowsXP and MS Word. Proficient knowledge of MS Excel and MS PowerPoint.
  • Must be detail oriented and able to communicate effectively in oral and written forms.
  • Ability to manage multiple tasks.
  • Must be able to follow directions.
  • Ability to work well under pressure, meet deadlines and remain calm while dealing with difficult situations and changing work environments.
  • Ability to work overtime hours as requested.
  • Ability to lift and carry items weighing less than 25 lbs.
  • Ability to communicate with co-workers and outside parties.
  • Visual acuity sufficient to permit performance of job functions enumerated above.
Required Experience:

  • High School Diploma or GED required. AA/BA/BS degree or equivalent specialized training a plus.
  • Minimum 10 years' secretarial experience, 5 of which must be legal. Education may be considered in lieu of some work experience.
