Job Description

OVERVIEW

The Executive Assistant will support the Chief Financial Officer and the General Counsel. This position requires enthusiasm, discretion, judgment, professionalism and diplomacy.

RESPONSIBILITIES

  • Represent the executive offices with professionalism and tact
  • Communication skills to include, phone manners, accurate message taking, judgment on when to interrupt and how to prioritize calls
  • Manage, maintain and coordinate the CFO’s, the General Counsel’s and departmental calendars including scheduling internal and external meetings and securing appropriate meeting space
  • Handle confidential and high level information with discretion and diplomacy
  • Create, proofread, redline and edit documents, presentations and reports using PowerPoint, Word and other tools
  • Organize (and keep organized) extensive paper and electronic files and folders
  • Prepare expense reports
  • General word processing, filing and copying
  • Maintain, update and distribute databases and reports, including Lease Status Report. Assist in the Lease Administration process
  • Assist with investor communications
  • Process invoices and check requests
  • Make travel arrangements

SKILLS

  • Advanced knowledge of Microsoft Office Suite including but not limited to: Word, PowerPoint, Excel and Outlook
  • Calendar management, meeting planning and travel arrangement experience
  • Excellent communication, interpersonal, organizational and technical skills

QUALIFICATIONS

  • 5+ years of administrative experience required, preferably in a corporate law department/law firm or with senior level management
  • Bachelor’s Degree from an accredited university or college
  • Work independently as well as in a team environment
  • Manage multiple tasks simultaneously in a very fast paced environment
  • Meet deadlines which are sometimes extremely short
  • Ability to learn new areas and take on new responsibilities
