As a sales assistant for the Chicago office this position ensures that the Chicago office runs smoothly and efficiently on a daily basis in order to help all members of the team perform their job more efficiently and effectively. Act as a key resource person and liaise with clients, other lines of business and technology. This position reports directly to the MD of Sales.

KEY AREAS OF ACCOUNTABILITY:

ACCOUNTABILITIES:

A. Administrative Support
- Provide administrative support to sales staff including three to four top performing sales persons
- Answer phones
- Assist in the maintenance of the customer database in CRM
- Organize travel arrangements and coordination of expense reports
- Assist at all client events and seminars

B. Client support
- Process client orders and be responsible for all deliver and trade issues for the client
- Send publications, communications and notifications to the client on behalf of the sales people and the firm.
- Client communications, transaction processing, interfacing with back and mid-office operations
- Assist in the organization of prospective clients to present information on available investment services
- Research and resolve outstanding customer account issues in a timely fashion
- Work with sales team serving client’s needs, prepare appropriate materials/proposals to sell to clients
- Monitor and execute client bid lists
- Assist with Bond Swaps
- Assist those clients on the portfolio system to balance the general ledgers and help maintain any regulatory reports needed each month.
- Prepare customer positions reports so they can be developed by the Analytics department.

Knowledge & Skills:

a) Knowledge:
- Series 7, 63 registered
- Four year college degree preferred

b) Skills:
- Solid problem solving and time management experience is required.
- Exceptional organizational skills; detail oriented, well-organized and able to manage time and multi-task to accomplish a variety of duties, many times with conflicting priorities and timelines.
- Proactive and a self-starter; ability to work both independently and as an integral part of our team.
- Strong communication skills, both written and verbal, combined with excellent proofreading and editing skills.
- Very proficient at administrative tasks.
- Excellent telephone manner, ability to direct calls to the appropriate team member.
- Ability to use the knowledge of the organization to carry out accountabilities.
- Ability to deal with confidential matters in an appropriate
manner
- Solid computer skills with working knowledge of in Outlook, Microsoft Office, Excel, Power Point, and Internet Explorer research skills

Working hours for this role are: 7:30 am to 4:30 pm
