Performance Responsibilities
Under the general supervision of the Dean of Counseling and Special Programs, this position will implement a variety of student oriented services; provide information related to assigned program and general college information; assist students with general concerns not requiring the services of counseling faculty; provide clerical support to counseling staff; and perform other related duties as assigned.

EXAMPLES OF DUTIES:
a. Provide information on various college and community services and resources to current and potential students.
b. Refer current and potential students to appropriate personnel and/or other campus departments, including academic and career planning, and personal counseling.
c. Assist with development, organization and facilitation of workshops for students.
d. Set up and maintain various files and records, including student applicants and honor students.
e. Make appointments for students, by phone and in person, with appropriate counselors for academic counseling and keep accurate statistical records for accountability purposes.
f. Provide information on available services and resources to students and make appointments for placement testing; assist students in clarifying college catalog, transfer handbook, and class schedules.
g. Act as club advisor for HELP Club; liaison between student HELP Club members and various elementary and middle school personnel; advise and guide HELP Club student members.
h. Assist with the coordination of transfer/tour visitations at local four-year schools with Transfer Center, TOP and Puente programs.
i. Perform a variety of specialized office tasks related to the assigned program such as transcribing of minutes for staff meetings, preparing certificates for honor students, maintaining student records, processing mass mailings, or processing talent roster nominations for eligible students.
j. Perform a variety of clerical work including typing and mailing routine correspondence, proofreading, and filing; compile reports, develop and update forms; order supplies and maintain inventory; compile information packets for distribution; receive, sort, and distribute mail.
k. May organize and participate in college-wide outreach to area high schools and the community.
l. Assist in research projects related to program activities as assigned.
m. May assist in organizing the college's scholarship program and participate as a member of the scholarship committee, when appropriate; assist the scholarship award activities.
n. May oversee and lead the work of other staff in same or lower level classifications; lead student workers including checking student work for accuracy, and providing training when necessary
o. Maintain current information about academic requirements for majors and transfer programs to other colleges and universities.
p. If assigned to the Career Center, will coordinate the Center when appropriate.
q. Perform other related job duties as assigned.

Minimum Qualifications:

Faculty/Educational Administrators complete the Equivalency Application only if you do not meet the minimum qualifications for the position you are applying to, and you wish to be considered.

Knowledge of:
1. Philosophy, goals and objectives of the program to which assigned.
2. Community college student service resources and functions and/or program structure of occupational and transfer colleges.
3. English usage, spelling, grammar and punctuation and ability to proofread for errors.
4. Modern office procedures and equipment, including use of computers for word processing, record keeping and reporting.

Ability to:
5. Communicate effectively both orally and in writing.
6. Perform clerical work of above average difficulty including accurately sorting and filing both alphabetically and numerically and establishing and maintaining filing and record keeping systems.
7. Plan and organize work to meet deadlines.
8. Establish and maintain record keeping systems.
9. Type at an acceptable rate of speed.
10. Work cooperatively with others.
11. Train and oversee staff at same or lower classifications.
12. Be sensitive to the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college students.
13. Establish and maintain effective relationships with those contacted in the course of work.

For Career Center Positions: Ability to read and interpret guidance materials and university catalogs and bulletins.

For EOPS Positions: Knowledge of community, governmental and social service agencies serving special populations.

Education and Experience:
14. Completion of some formal education as it relates to this position.
15. One year of work experience in same or similar capacity which demonstrates ability to work with special population groups.
16. Or any combination of education and experience that produces required qualifications.

Conditions of Employment
This is a regular, part-time, 19 1/2 hours per week, 12-month per year position. The normal hours of work will be 2:00 p.m. to 6:00 p.m., Monday through Thursday and 8:00 a.m. to 11:30 a.m. on Friday, with occasional flexibility required to meet the needs of the department.

Pay Philosophy
Starting salaries for support staff positions begin at Step-1 of the salary range. Employees hired prior to April 1 of each year will move to the next step on the upcoming July 1. Employees hired on or after April 1 of each year will move to the next step the following July 1. All movement on the salary schedule will occur July 1 of each year for all classified employees.

Benefits:
Benefits for part-time employees scheduled to work less than 20 hours per week (less than 50%) include pro-rated vacation and sick leave, and paid holidays for days scheduled to work only. Employees participate in both the Public Employees Retirement System and Social Security.
