Provides day-to-day administrative support to the Private Client Services (PCS) team. - Provides day-to-day administrative support for the PCS office team, including phone coverage, opening and sorting mail, filing and document processing.
- Assists in the preparation of proposals for prospects and stewardship reviews for existing clients.
- Prepares Summaries of Insurance.
- Assists department team members with quoting as needed.
- Researches requests for information and communicates findings to the appropriate colleague.
- Processes activities within the Applied system.
- Escalates emerging prospect or client issues to the appropriate colleague as necessary.
- Maintains up-to-date Applied workflow documentation and ensures workflows are adhered to when processing individual paperwork.
- May participate with other members of the PCS office team in handling direct client responsibilities where qualified and licensed.
- Complies with all internal policies and procedures.
- Ensures all regulatory requirements are met if handling direct client responsibilities.
- Other duties as assigned.
- Minimum one year of office support experience required.
- Insurance experience with a demonstrated knowledge of insurance products highly preferred.
- High School diploma or equivalent required.
- Must meet required insurance licensing requirements if assigned direct client responsibilities.
- Detail oriented with strong organizational skills.
- Demonstrated ability to follow detailed instructions is essential, along with proven problem solving skills.
- Effective verbal and written communication skills and demonstrate the ability to work well within a team.
- Strong typing skills necessary.
- Proficient in the use of personal computers and supporting software in a Windows based environment, including MS Word and Lotus Notes; experience using customer or contact relationship management software strongly preferred, knowledge of Applied is ideal.
- Proven ability to handle multiple tasks and respond with a sense of urgency as required.
- Demonstrated professional and ethical business practices, adherence to company standards, and a commitment to personal and professional development.
