| Administrative Assistant
Duties/Responsibilities:
• Executive support for department attorneys, including: o management of meeting schedules and daily calendars; o drafting and mailing correspondence, including Patent Award letters; o preparing conference registrations and arranging travel; and o processing expense reports. • Group support and backup to executive administrative assistant, including: o opening and distributing mail; o assisting with shipping requests; o maintaining department calendar; o ordering department supplies and preparing equipment replacement requests; o redirecting calls from the switchboard; o opening purchase orders, processing invoices and generating check and wire requests; o setting up new hires; o scanning and filing documents; o setting up conference rooms; and o greeting/escorting guests. • Coordinate and track NDA signature process • Maintain Legal Department library, including updating and ordering materials • Track subpoenas • Assist with Department offsite
Qualifications: • 5+ years experience. • College graduate, but will consider a high school graduate with college coursework or an AA degree. • Computer proficiency: extensive experience with MS Word, Power Point, Excel and MS Office software. • Exceptional communication skills with excellent interpersonal, verbal and written communication skills.
