Job Duties:
- Experience serving as liaison between Senior Executives and managers;
- Perform executive duties to include:
- Research topics of interest; prepare background books/ talking points papers;
- Monitor emails; draft non-routine letters, documents, and reports requiring knowledge of the client's organization, policies, regulations, procedures
- Answer phones; screen, and refers calls to appropriate client resources
- Prepare for visitors by initiating security clearances and escorts visitors
- Sorts/screen incoming mail; categorizes and prioritizes response needed.
- Develop and maintain accurate records and files management systems
- Prepare expense statements.
- Oversee ordering of supplies, repair of office equipment, initiating the installation of new software, or planning office renovation projects.
- Provide career guidance for subordinate secretary/other staff
- Participate in panels for selecting, hiring and placing staff
- Participate in Career Panel processes including developing and administering career development policies and procedures
- Serve as counselor and mentor to subordinate staff.
- Provides on-the-job-training by pairing less experienced subordinates or team member with those who have more expertise.
- May perform team lead/ first line supervision functions to subordinate staff
- Assign and monitor the staff workload
- Establish performance objectives
- Other duties as assigned.
Basic Qualifications:
- 3 years of progressively responsible executive office support experience with exposure to different offices/directorates
- High School diploma or GED
- Knowledge of government agencies and their inter-relationships and Community regulations, policies, organizational rules
- Excellent oral and written communication skills
- Excellent customer service skills, demonstrated by responding to Senior staff
- Knowledge of current computer applications/ internal transactional applications
- Extensive knowledge of filing and records management systems and practices.
- Knowledge of QA procedures to ensure data integrity and timeliness of the data.
- Ability to lead and mentor staff through example.
- Ability to develop creative approaches to resolve problems.
- Ability to work independently at a brisk pace, make urgent judgment decisions
- Ability to adapt to a rapidly changing work requirements and.
- Ability to review diverse reference sources and synthesize data for reports
- Ability to work a flexible schedule; may require overtime or extended hours.
- Must have current TS/SCI Clearance and Full Scope Poly.
