Executive Assistant to VP of Bus. Dev. and VP of Corporate Affairs

Summary:
Celera is a healthcare business that uses knowledge of human variability to provide new tests and services to personalize disease management. Our Products business develops and manufactures molecular diagnostic products. Our Services business, Berkeley HeartLab, Inc. (BHL), is a high complexity CLIA certified laboratory that offers over 25 clinical diagnostic tests. And our 4myheart centers are staffed with medical professionals who use results from testing at BHL to work with patients, under their physician’s direction, to develop customized regimens for exercise, nutrition, stress management and therapy compliance. Supporting these businesses, our internal research and partnering activities fuel the development of new diagnostic tests for personalizing disease management in our products and/or services.

The individual in this high profile position will provide high quality executive administrative support to two of the senior level executives of Celera Corporation; the VP of Business Development and the VP of Corporate Affairs.

Essential Duties and Responsibilities:
• Maintaining daily schedules
• Coordinating meetings
• Conference Calls, Earnings Release Calls, Coordinating travel arrangement
• Preparing detailed itineraries
• Answering phones handling all inquiries internal and external some highly confidential and time sensitive; arranging for callbacks that work best with managers time, provide backup materials for callbacks and route calls elsewhere as needed
• Organizing and prioritizing mail and general correspondence
• Serving as liaison for the VP of Business Development and the VP of Corporate Affairs to members of senior management, staff, and other internal/external contacts.
• Handling special projects as necessary
• Preparing reports, complex documents, press releases and presentations with keen business acumen as financial information is incorporated into presentations for both inside and outside company personnel
• Organizing and managing project files and appropriate follow up: proofreading documents and Microsoft Power Point presentations; monitoring mail and faxes; keeping chronological files; completing expense reports; and creating purchase orders.
Act as recording secretary, prepare action minutes, etc as needed.
• Support vendor coordination: meetings; presentations; proposals etc.
• Act as liaison with external website developers to ensure company external websites are updated and properly maintained.

The successful candidate will be a highly motivated self-starter with exceptional computer and interpersonal skills, strong communication abilities, confidence, poise, a high level of comfort interacting with senior executives and have an appreciation for the confidential nature of projects within the department.

This position requires considerable use of tact, diplomacy, discretion and judgment and the ability to prioritize a variety of time sensitive tasks and take on projects as assigned while maintaining day to day work-flow. Candidates should be extremely detail oriented with the ability to multi-task and meet tight deadlines. This role provides integral investor relations support while interfacing with Board of Directors, senior management, members of the analyst community, investors, financial institutions and other key constituents. Collaborate with other executive assistants on projects as appropriate as well as provide backup to them for their executives as needed.

Requirements:
Bachelor's degree and five plus years of executive support experience preferred, previous experience supporting VP of Business Development and/or Corporate Affairs would be a plus. Friendly, level-headed demeanor, reasoning, diplomacy and negotiation skills, and strong verbal and written communications aptitude are all essential, as is attention to detail, organizational excellence, and the ability to work independently. Experience with Microsoft Outlook, MS Word, Excel, Access and PowerPoint preferred, and knowledge of advanced formatting features in Word required.
