JOB SUMMARY: Under direct supervision, performs a variety of clerical duties to include handling physicians in and/or out boxes, as well as setting up appointments. Makes members/patients and their needs a primary focus of one's actions; develops and sustains productive member/patient relationships. Actively seeks information to understand member/patient circumstances, problems, expectations, and needs. Builds rapport and cooperative relationship with members/patients. Considers how actions or plans will affect members; responds quickly to meet member/patient needs and resolves problems.
JOB REQUIREMENTS: High school graduation or equivalent. One year of experience is an outpatient medical facility, which included back office, laboratory, pharmacy or ancillary service experience. Previous experience with word-processing applications & basic keyboard skills. Successful completion of a medical terminology course or experience using medical terminology. Effective verbal & written communication skills, including legible handwriting to work with physicians and patients. Previous experience in prioritizing and organizing multiple tasks. Demonstrated customer service skills, customer focus abilities and the ability to understand Kaiser Permanente customer needs.
ESSENTIAL RESPONSIBILITIES: Processes desktop medicine through the HealthConnect and/or paper system, such as orders, lab, radiology, and pharmacy refill requests. Manages the provider in and/or out baskets handling requests on a continuous basis.
Collects all pertinent patient data for forms processing such as medical records, informed consents, etc., appropriately documents data on forms in accordance with department policies.
Answers incoming telephone calls; ascertains the nature of calls by asking pertinent questions, answers routine inquires, takes complete messages, makes the necessary referrals to appropriate departments/personnel.
Accesses and utilized Kaiser Permanente’s on-line appointment system .Schedules appointments for the facility/department. This may involve consulting with the provider on type of length of appointment needed.
Retrieves all messages from appropriate sources (Patient Care or Call Center). Prioritizes and distributes messages to the team. Will be expected to consult with appropriate nursing or provider personnel if deemed necessary. Processes messages, referrals and faxed that arrive in the departments. Primary contact for on-line phone messages and printed messages.
May prepare lab mailers for notification to patients, ensuring that all labs have been appropriately approved prior to sending to patients. May send certified letters to patients who have not responded to follow-up appointments.
Other duties as assigned such as ordering of supplies, medical receptionist duties.

SCHEDULE: Variable days and hours Monday – Friday 8:00AM – 5:00PM
STARTING SALARY RANGE : $14.47 (Hourly)
