Event Planner (09MD14) - Auburn, Washington

Position Summary:

The Event Planner will coordinate and execute events at a facility in Auburn, Washington. Events will include employee conferences, seminars, training, awards programs, new associate orientations, ground-breakings, building and site dedications, branch and divisional off-site meetings, town hall meetings, rope drop events. This includes highly visible events involving congressional visitors. The Event Planner provides support in determining and achieving the purpose and goals of events. The key stakeholders for many events involve coordinating and communicating with senior levels of management.

The Event Planner will work 32 hours a week (Monday-Thursday), from March-Oct and 40 hours (Monday-Friday), from Nov-Feb. Full benefits are available.

Essential Duties and Responsibilities:

  • Manage ongoing online registration
  • Event planning committee meeting scheduling, coordination, minutes
  • Event day coordination of staff and activities
  • Preparing financial and activity reports
  • Manage event timeline
  • Market research for venues
  • Room layout and set-up
  • Menu planning and selection
  • Develop conference format and schedule
  • Coordinate speaker selection
  • Coordinate employee presentations
  • Facilitator selection and orientation
  • Coordinate event graphic design projects with internal graphic designer
  • Budget preparation and management
  • Transportation and event security coordination
  • Develop conference evaluation process, instrument, and implementation
  • Identify and coordinate equipment needs
  • Identify staff needs and assignments
  • Liaison with key stakeholders
  • Onsite event coordination and execution

Qualifications/Requirements:

  • This is a Public Trust position which requires a non-classified security clearance. The applicant will be required to submit a SF85P and fingerprint cards and will be subject to a name and credit check by the US Government and will need to receive favorable adjudication.
  • BS/BA degree
  • 2+ years project management experience as a meeting planner
  • Government meeting planning experience preferred
  • CMP (Certified Meeting Professional) certification a plus
  • Proactive approach to project management
  • Ability to work independently at an offsite location
  • Ability to balance and prioritize multiple responsibilities simultaneously
  • Strong problem solving ability
  • Excellent organizational skills and attention to detail
  • Proven computer skills in Microsoft Office application, including Word, Excel, PowerPoint and Access database
  • Ability to lift 50 pounds
  • US Citizenship is required
