Stationed at the building lobby, this position is responsible for greeting, accommodating and directing visitors and guests, answering, screening and directing incoming calls from the main switchboard, and working on administrative projects, tasks and overflow work in a courteous, professional and efficient manner. The primary responsibility of this position is to create and maintain a professional image of the company by providing prompt, courteous, and efficient service to visitors, guests, employees and telephone callers. During business hours, the reception station must be staffed 100% of the time and all scheduling conflicts must be immediately reported to management. The receptionist is responsible for ensuring that all incoming phone calls are answered within three rings.
This position also serves an important security function by monitoring lobby traffic and reporting suspicious activity to management. This individual is responsible for verifying proper admission to the building and issuing of access badges.
The secondary responsibility of this position is to provide administrative support for various tasks, projects and department overflow work. The primary position duties referenced above should take precedence over administrative support tasks.
This position deals with a diverse group of callers and visitors as well as internal contacts at all levels of the organization. Will be exposed to company proprietary and strategic information that must not be divulged. This is a non-exempt position and the general work hours are from 8 am to 5 pm, Monday through Friday with limited over-time. HUMAN RESOURCES SUPPORT · Maintain and organize supplies for new hire welcome packages · Take new hire badge photos and email appropriate Broadcom Staff · Upload new hire photos onto appropriate SharePoint Site folder · Collect necessary documents to complete I-9 form
GENERAL CORPORATE SERVICES TASKS · Update progress report on pending issues for site and meet with Corporate Services supervisor on a biweekly basis to review · Assist with SharePoint maintenance and re-design of site · Provide support to multiple sites if needed · Update and Maintain Office Resource Guide/Workbook · Print out updated information in the Office Resource Guide/Workbook for hard copy at the reception desk · Update changes onto SharePoint site on a quarterly or more frequent basis · Use Remedy to create, update, track and resolve tickets as assigned · Attend internal/external training upon approval from Corporate Services supervisor · Provide back-up coverage and support in the absence of other administrative assistants · Be an active member of the Corporate Services team, taking an active part in any team initiatives and assisting the management team in building and maintaining a proactive and positive team atmosphere · Participate in monthly team meetings and/or conference calls · Participate in training newly hired administrative staff · Attend team events when possible · Assist with Floor Monitoring duties as needed · Subpoenas - clearly understand the process and handle accordingly · Order supplies : Our receptionists order and stock Staples supplies per assigned copy room(s) and they also order copy paper for the building · Distribute forms (gym waivers, auto detailers etc) and forward to the appropriate employee/department for action. · Evacuation routes and Building Maps - have a clear understanding of the entire building layout (conference rooms, exiting, cafe, gym, mailroom, emergency response team, etc.) so that you can easily and efficiently direct employees. · Wage Garnishments · For HVAC, janitorial, electrical, and equipment issues, break room supplies, items needing repair (broken chairs, etc.) or replacement notify WorkRequest
