Job Description:
Position Summary:

Provide administrative support for the Vice Presidents of Diversity, LifeWorks, and Benefits as well as departmental staff.

Responsibilities:

1. Schedules appointments, and maintains and updates supervisor's daily calendars.
2. Answers telephone, screens calls, routes callers, takes messages, responds to internal and external inquiries, and provides routine information within scope of authority.
3.Types and composes memorandums, policies, minutes, manuals, letters, forms, procedures, proposals, and other documents and correspondence as appropriate. Coordinates and prepares meeting materials, presentations, agendas, notes, handouts, etc. Prepares and formats presentations, tables and spreadsheets.
4. Schedules, organizes and coordinates meetings and facilities. Arranges presentations and conferences; prepares charts and timetables.
5. Arranges travel itineraries including transportation and hotel arrangements, and prepares travel and expense reports.
6. Opens, reviews, routes and disseminates interoffice and external mail, distribute correspondence and other material to HR staff.
7. Coordinates departmental supplies, ensures maintenance of equipment, and initiates order for supplies and materials as needed.
8. Coordinates special projects as needed.
9. Performs other related duties as assigned.

Requirements:

* 2-4 years of administrative experience.
* Bachelors degree preferred but not required.
* Strong computer skills, including database management and a high degree of proficiency in PowerPoint, Word, Access, Excel, Lotus Notes, and other graphic programs, and Internet navigation.
* Excellent written and oral communication skills.
* Excellent organizational, proofreading, and word processing skills.
* Adept at identifying, prioritizing, and managing important tasks/issues.
* Ability to work independently with minimal direction.
* Adept at simultaneously balancing numerous administrative tasks and projects.
* Thrives in a busy, productive work environment.
* Must be a self-starter.
* Superior interpersonal skills combined with the ability to work successfully in a matrix environment.
* Attention to detail is essential.
* Must have the legal right to work in the United States.
