Duties: Under the direction of the Director, Human Resources the Office Administrator will be responsible for the following tasks: o Coordinates the maintenance and alteration of office areas and equipment as well as layout, arrangement and housekeeping of all office facilities. o Arranges complex and detailed travel plans and itineraries, complies documents for travel-related meetings for all employees. o Negotiates the purchase of office supplies and furniture, office equipment, ect in accordance with purchasing polices and budgetary restrictions. o With the I.T Department coordinate the maintenance of office equipment including but not limited to recycling, changing light bulbs, heat problems, water problems, general repairs, staff moves ect. o Participation in party, event and special projects as directed. o Responsible for greeting guests in a professional friendly hospitable manner. o Types memos, correspondence, reports and other documents as directed. o Professionally receive and direct all incoming phone calls. o Screens incoming calls and correspondence and respond independently when possible. o Organizes programs events, meetings or conference by arrange facilities and careers, issuing information and invitations, coordinating travel and timelines. o Prepares agendas, notices, minutes and resolutions for corporate meetings. o Creates a maintains spreadsheets, database files and contact lists. o Maintains confidentiality of all information. o Assists the Director, Human Resources in carrying out various human resources programs and procedures for all company employees. o Participates in the initial recruitment efforts by coordinating schedules and interview administration. o Helps maintain corporate Organizational charts and employee directories. o Sorts, opens and distribute mail according to recipients. o Responsible for the reception and delivery of all correspondence including but not limited to Faxes, Mail, FedEx, UPS, Messenger and the service of the like. o Creates postage and ensure accurate delivery of all company correspondence.
Qualifications: · 4 or more years working in an office administration capacity and at least 2 years working in a Human Resources Role. · Ability to multi-task and maintain organization in a fast paced, changing environment. · Ability to create and maintain the highest levels of confidentiality when dealing with proprietary information and sensitive situations. · Software excellence with all Microsoft Office Suites to include but not limited to Word, Excel and PowerPoint. · Working knowledge of the mail process such as postage machines and FedEx/UPS shipping portholes · Professional Appearance and manner · Proven track record of excellent customer service skills and office etiquette. · Must be punctual, have a think skin and able to take direction from multiple people at once.
