Regional Access Performance Analyst

PURPOSE: To provide analytical support and reporting for Regional Access Services to ensure optimal physician schedule management and operations efficiency in the clinical call center.

“This position consistently supports compliance and the Principles of Responsibility (Kaiser Permanente's Code of Conduct) by maintaining the privacy and confidentiality of information, protecting the assets of the organization, acting with ethics and integrity, reporting non-compliance, and adhering to the applicable federal, state and local laws and regulations, accreditation and licenser requirements (if applicable), and Kaiser Permanente's policies and procedures. In addition, Regional leaders are accountable for communication, implementation, enforcement, monitoring and oversight of compliance policies and practices in their departments.

Accountabilities: (List of 4 – 6 primary responsibilities, not activities, in their order of importance.

  1. Provides a high level of technical expertise in systems relating to Area Access and Clinical Call Center . Represents department on interdepartmental project teams.
  2. Is responsible for data and reporting from data systems to support operations management with accurate, timely information and assists in the assessment and measurement of performance against objectives.
  3. Consults with senior management and service chiefs on data requirements for specialty demand model development and maintenance.
  4. Develops and maintains strong business relationships with internal business partners, including all levels of management, senior leaders, service chiefs, multiple levels of management, and other data users. Performs the role of data advocate on behalf of the business areas, as well as answering data related questions for all reports related to Regional Access Services.
  5. Completes data reporting, analysis, and summaries for area access and clinical call center for submission to NCQA, RQIC, and ART.
  6. Performs analysis for problem solving and new methodologies by extracting data using tools such as Crystal Reports, MS Access, and SQL and compiling data from KPHC Clarity, telephony, and workforce management data systems.
  7. Works closely with the business areas to define requirements of the data to support operations efficiency and business case development, and implementation of initiatives
  8. Identifies relevant short- and long- term trends and to the attention of management to ensure that performance standards are met
  9. Inputs data and produce simulation reports needed for forecasting call volume and scheduling staff as well as for long term capital, operational budget, and staff planning for clinical call center.
  10. Leads meetings with business users to identify performance metrics and data requirements.
  11. Performs PCP Program analytical and technical support:

a) Designs, creates, and maintains databases in Access.

b) Performs process analysis to organize and manage systems (data collection and entry, data interpretation, and process design).

c) Translates information into presentation format (Microsoft PowerPoint and Excel).

d) Interfaces with Medical Group and Integrated Delivery Systems to determine physician activity (new physicians and leaving physicians). Mails survey to new physicians and tracks completion of surveys

e) Organizes and performs periodic updates to existing provider database and integrates this process with Provider Directory process.

f) Manages and distributes Personal Physician Program reporting (panel information/status, size, etc, sessions reports, etc.).

g) Ad hoc requests

MINIMUM REQUIREMENTS – Relevant Years of Experience:

· Three years of experience with a healthcare insurance and/or healthcare delivery organization required.

Education and/or Classes:

· Bachelor’s Degree in Business-related field or Education required.

License, Certification and/or Designation:

  • N/A

Other Important Competencies:

· Working knowledge of KPHC data systems preferred.

· Working knowledge of the design, construction and use of complex relational databases required.

  • Ability to explain highly technical data to less technical stakeholders required.
  • Demonstrated management engineering approach to work flows and processes required.

· Strong analytical, organizational, and communication skills required.
